Planning out your event is fundamental to the success of the gig, as Open Mic UK (2019) states: “Knowing what you’re trying to achieve can help you guide your planning in the right direction”, which suggests the importance of planning and understanding the goal of the event. Open Mic UK (2019) is a secondary source of information, this may mean that the source is not wholly reliable for accurate information. Due to this, I have cross checked this source with the eventbrite blog Steaton, L. (n.d.) wrote. This blog is a primary source of information as it is an interview with an industry professional, Lou Steaton. Within the Steaton, L. (n.d.) blog, it is suggested that key on-the-day tasks are of importance to the success of the gig. This means that a plan with key tasks, such as greeting the artists, must be created.
I have used the eventbrite blog Steaton, L. (n.d.) was interviewed within to be able to inform the list below. The source is am using is a primary source of information and is reliable as the interviewee is artist liaison for a venue that as hosted a range of acts including Ed Sheeran, Bastille and Mumford & Sons.
Before the Event
- Gather and confirm any artist riders or requirements.
- Gather and send information on how to get to and access the venue to the appropriate people.
- Create an artist liaison sheet which includes staff names, roles, scheduled times for tasks e.g. soundcheck, and the curfew time.
Before Artist Arrival
- Organise and ensure that artist riders and requirements are in place and ready.
On Artist Arrival
- Greet the artists and introduce yourself.
- Give artists any useful information such as where toilets are located, where fire exits are and restrictions.
Conduct the soundcheck.
After Soundcheck
- Let artists rest/get ready for their set.
When Doors Open
- Use artist liaison sheet as a reference to task/set times.
Conclusion
In conclusion, gathering information on day plans for live music event has helped me to understand what needs to happen on the day of the event. The use of a primary source from an industry professional has helped me to gather reliable information to inform my project. I have collected enough research and information to be able to inform my practical task of creating a day plan for my own event.
